How do you connect Google Sheets to WhatsApp?
- Create a service account in Google Cloud and download its JSON key.
- Save the key in InboxWA on the Integrations page. There are no OAuth pop-ups: the connection uses the service account.
- Share your spreadsheet with the service account's email address, the same way you would share it with a person.
- Test it. A test action reads from a spreadsheet you name, so you can confirm access before building a flow.
What does the Google Sheet flow step do?
Drop the Google Sheet step into any flow and choose an action:
| Action | What it does |
|---|---|
| Read | Reads rows from the sheet and range you specify, so the flow can use the values |
| Append | Adds a new row at the end of the sheet tab |
| Update | Writes values into a range you specify |
You set the spreadsheet ID, the sheet tab (it defaults to Sheet1) and the range. Those fields accept flow variables, so a value the customer typed earlier in the chat can go straight into a cell.
What can you build with it?
- Lead capture. After a flow asks a customer for name, budget and timeline, append one row per lead. See WhatsApp lead qualification.
- Price or stock lookups. Read a row by range to answer "what is the price of X" from a sheet your team already maintains.
- Status updates. Write a "paid" or "confirmed" value back to a row, for example after a Razorpay payment link is paid.
- Follow-up lists. Append every customer who asked for a callback so the team works from one sheet.
What are the limits?
- It is a service-account connection. Each sheet must be shared with that account, or the step cannot see it.
- A sheet is not a database. It suits lists of hundreds of rows. For large catalogs or high volume, use the API or a database step.
- Google's own limits apply to how often a spreadsheet can be read and written.
- Customer data in a sheet is your responsibility: restrict who can open it, and honour opt-outs if you message from it.
- This page describes what the integration does today, including its limits. If you need something it does not do, our custom integration service scopes it as a project.
Frequently asked questions
Does InboxWA integrate with Google Sheets?
Yes. Connect a Google service account on the Integrations page and use the Google Sheet step in any flow to read, append or update rows. You share each spreadsheet with the service account's email address.
Do I need to sign in with Google or approve OAuth?
No. The connection uses a service account JSON key, so there is no OAuth pop-up. You share the sheet with the service account instead.
Can a WhatsApp flow add a lead to a spreadsheet automatically?
Yes. Use the Append action after the questions your flow asks, and map each answer to a column using flow variables.
Can it update an existing row?
Yes. The Update action writes values into the range you specify, so a flow can mark a row confirmed or paid.
