Calendly WhatsApp Integration: New Bookings Become WhatsApp Contacts

Last updated: October 2026

InboxWA connects to Calendly with an access token, listens for new bookings through a verified webhook, and creates or updates a contact from each booking. This page lists what is built and what you still set up yourself.

What does the Calendly integration do?

  • Connect with an access token. You save a Calendly access token and your organisation URI on the Integrations page. A test action confirms the connection by calling Calendly's current-user endpoint.
  • List upcoming events. InboxWA can read your upcoming scheduled events from Calendly.
  • Subscribe to bookings. One action creates a webhook subscription in Calendly.
  • Turn a booking into a contact. When someone books (invitee.created), InboxWA takes their name, email and phone number and creates the contact, or updates it if the number already exists.

Every incoming Calendly webhook is checked against Calendly's signature (HMAC-SHA256, compared in constant time) before anything is stored, and each event is logged against your account.

Which phone number does it use?

The number comes from the SMS reminder field on the booking (Calendly's text reminder number). If the invitee did not give one, there is no number to message, so no WhatsApp contact is created for that booking. Add a phone question to your Calendly form, or make the reminder number required, to avoid gaps.

What do you set up yourself?

  • The follow-up message. The integration creates or updates the contact. A confirmation, reminder or reschedule message is something you build in a flow and send with an approved template. See WhatsApp appointment reminders and the welcome message templates.
  • Opt-in. A booking is not automatically consent to marketing messages. Collect it in your booking form wording.

What are the limits?

  • Only new bookings create contacts today; the integration does not send messages on its own.
  • It needs a phone number on the booking.
  • Messages outside the 24-hour customer window need Meta-approved templates.
  • This page describes what the integration does today, including its limits. If you need something it does not do, our custom integration service scopes it as a project.

Frequently asked questions

Does InboxWA integrate with Calendly?

Yes. Connect with a Calendly access token and organisation URI. New bookings create or update a contact using the phone number on the booking, and booking events are logged.

Does it send WhatsApp confirmations automatically?

Not by itself. The integration creates the contact; you build the confirmation or reminder in a flow and send it with a Meta-approved template.

What if the invitee does not give a phone number?

Then no WhatsApp contact can be created for that booking. Ask for a phone or reminder number in your Calendly form.

Is the Calendly webhook secure?

Yes. Each webhook is verified against Calendly's HMAC-SHA256 signature before it is processed.
