WhatsApp Appointment Reminders: Confirm, Reschedule, Fewer No-Shows

Last updated: October 2026

A reminder only helps if people read it and can answer in one tap. This page shows how to build a WhatsApp appointment reminder flow in InboxWA with confirm and reschedule buttons, what Meta's rules mean for it, and what it costs.

How does a WhatsApp appointment reminder flow work?

  1. Start the flow from a booking: a signed webhook from your booking software, a new Calendly booking, a tag you add, or a manual start for one customer.
  2. Wait with the Delay step until the right time, for example the evening before.
  3. Send an approved template with the appointment details and quick-reply buttons: Confirm and Reschedule.
  4. Wait for the reply with a timeout, then branch with If / Else on which button was pressed.
  5. Confirm with a short text, or hand a reschedule to your team with the Human Handoff step so a person offers new slots.
  6. Record the outcome by tagging the contact or writing a row to a Google Sheet.

Sample reminder template

Hello {{1}}, this is a reminder of your appointment on {{2}} at {{3}} with {{4}}. Please confirm so we can keep your slot. [Confirm] [Reschedule]

This is utility-style wording: it concerns a booking the customer made. Submit it to Meta for approval under the utility category. Meta's review typically takes under a day but is not instant, so submit well before launch.

What do Meta's rules mean for reminders?

  • You need an approved template for a reminder sent outside the 24-hour window, which is almost always the case.
  • Utility messages are billed per message. Providers report that from 1 October 2026 utility templates sent inside an open window are billable too. Check Meta's current rate card; our cost guide explains the categories.
  • Opt-in matters. A booking made by the customer is a reasonable basis for a reminder about that booking; promotions need separate consent.

Which businesses use this?

Clinics, salons, coaching centres, service engineers and anyone whose revenue depends on people turning up. Industry pages: clinics, salons, coaching institutes.

What are the limits?

  • The flow sends and reads replies; it does not itself check a calendar for free slots. Rescheduling is handed to a person or to your own system through the API.
  • Reminder timing depends on the booking data you pass in.
  • This page describes what the integration does today, including its limits. If you need something it does not do, our custom integration service scopes it as a project.

Frequently asked questions

Can I send appointment reminders on WhatsApp automatically?

Yes. Build a flow that waits until the right time, sends a Meta-approved template with Confirm and Reschedule buttons, then branches on the reply. It can start from a webhook, a Calendly booking, a tag or a manual start.

Do I need a template for reminders?

Yes, for almost every reminder, because it is sent outside the 24-hour customer window. Submit it under the utility category for Meta approval.

Does InboxWA check my calendar and offer free slots?

Not by itself. A reschedule request is handed to your team, or your own system can offer slots through the API.

What does a WhatsApp reminder cost?

Meta bills a per-message fee for utility templates, plus your platform plan. Check Meta's current India rate card; the pricing guide explains how the categories work.
